Each year, the Dean of Graduate and Postdoctoral Studies is pleased to invite departments to submit nominations for the Award for Excellence in Service to Graduate and Postdoctoral Studies. This award acknowledges outstanding contributions to graduate and postdoctoral education at ƽÌØÎå²»ÖÐ by members of the administrative and support staff of the University. This award is given every year that a suitable nominee is put forward. The selection committee could consider recognizing more than one employee in a single year.Ìý
Nomination Procedure
Any ƽÌØÎå²»ÖÐ staff member-academic, administrative, or support-or graduate student may support a nomination.
A nomination must include:Ìý
- A completed Nomination Form
- A substantial letter of support from the nominee's Department Chair/Unit Director or Faculty Dean/Associate Dean
- Indicate the number of graduate students in the nominee's department
- A nomination letter that profiles the nominee's contributions to graduate and postdoctoral studies in the unit or office and in the university as a whole
- A minimum of two signatures is suggested (e.g., from a Graduate Program Director, or members of a graduate program committee)
- Nominee's short résumé (1-2 pages) emphasizing their significant contributions
- One additional letter sharing testimonials (e.g., from students or colleagues) will be considered (max. 2 pages)

Eligibility
All members of the administrative and support staff at ƽÌØÎå²»ÖÐ who are involved in the support of graduate and postdoctoral studies, with the exception of those working in Graduate and Postdoctoral Studies, are eligible to be nominated for this award. Nominees should have served a minimum of two years, or the equivalent in part-time service.Ìý
Criteria
Nominees will be evaluated based on the following criteria:Ìý
- Dedication and effectiveness in the service of graduate and postdoctoral studies, its clientele, and the public in a way that contributes to the University community;
- Achievements within current unit/role and the impact those achievements have had on the graduate program and students (e.g., launch of a new initiative, major improvements to a unit process, etc.).
- Demonstrated excellence in the day-to-day administration of graduate and postdoctoral studies:
- Technical knowledge and proficiency within current role (e.g., ability to problem-solve, anticipate needs, adapt to unusual cases, etc.)
- Understanding of all facets of graduate administration (advising, student support, admissions, etc.)
- Initiative and interest in improving processes and providing resources to better support the graduate program

The deadline for nominations is Monday, 15 January 2024 (late or incomplete submissions will not be accepted).
Selection Committee
The selection committee has the following composition:Ìý
- The Dean of Graduate and Postdoctoral Studies or delegateÌý(Chair)
- One academic representative
- Three non-academic representatives, including:
- Director of GPS
- Director of Teaching and Learning Services
- Former winner of the Award
- One graduate student, selected by the Post-Graduate Students' Society
Presentation
The selection committee must ensure that the selected staff member is willing to accept the award. The award is presented at a meeting of the recipient's Faculty Council or department, and/or other appropriate venue, where the recipient receives a letter and a plaque. The recipient's name is also inscribed on a permanent plaque at Graduate and Postdoctoral Studies.Ìý
