Job Description
The Clerkship Site Director (or, for some courses, Assistant Course Director) is responsible for the overall organization, function, and quality of the medical student experience of the clinical Clerkship course at one or more training sites. This includes quality of teaching, type and quantity of clinical and academic activities, assessment of students, and the physical and psychological safety of the learning environment for the students. The Clerkship Site Director reports to the Clerkship Course Director and is a member ex-officio of the Clerkship Component Subcommittee as per the terms of reference of that committee. The Clerkship Site Director based in Gatineau additionally reports to the Assistant Dean of the Campus Sante Outaouais. The expected time commitment is one half-day per week (0.1 FTE).
N.B. An individual who is responsible for only a segment of a clerkship course or a single part of a student's experience (e.g. NICU, Child Psychiatry, Outpatient Clinic, service chief etc.) is not considered a Clerkship Site Director and does not receive a stipend from the UGME Office.
General duties
The Clerkship Site Director is expected to implement Clerkship course decisions through policies and procedures that ensure the quality of the educational experience in Clerkship and ensure that Clerkshiprelevant accreditation standards are attained and maintained.
Specific duties
The Clerkship Site Director is expected to:
1. Participate in no less than 50% of the discipline clerkship/undergraduate committee meetings, either in person or by teleconference/videoconference (e.g. Skype)
2. Attend no less than 25% of Clerkship Component Subcommittee meetings in person or by teleconference/videoconference (e.g. Skype) as per the terms of reference of that committee
3. Collaborate with the Clerkship Course Director to develop and maintain the academic content of the Clerkship course in accordance with the MDCM Program and Clerkship Component policies and procedures
4. Implement and maintain the Clerkship course at the training site(s) in accordance with MDCM
Program and Clerkship Component policies and procedures, in collaboration with the Clerkship
Course Director
a. Ensure that Clerkship-relevant accreditation standards (e.g. equivalence of experiences across training sites and academic periods, required clinical encounters & procedures, midway feedback and narrative feedback, UGME Workload Policy, linking of learning activities and assessment to program objectives) are attained and maintained
b. In collaboration with the Clerkship Course Director, plan and schedule clinical and academic course activities and recruit teachers for these
c. Provide site-specific information and support to students and teachers
i. Orient students and teachers (residents and faculty) to the site and ensure that all sitespecific orientation material is sent to students by email in advance of the course and is complementary to (and neither contradictory to nor redundant with) with the information posted on line in the learning management system (myCourses)
ii. Ensure that the established key course information is transmitted to all students at all training sites
iii. Remain available and accessible to students and teachers throughout the course to discuss any concerns in a timely manner
d. Coordinate and monitor site-based teaching and learning activities
i. Ensure that learning objectives are known to students and teachers (residents and faculty)
ii. Ensure that learning activities are equivalent to those at other training sites
iii. Verify midway through the course that students have completed their logs in myMed Portfolio. Discuss with students who are having difficulty meeting the clinical encounter and procedure requirements, and if necessary modify their clinical duties to ensure that the requirements can be met before the end of the course
iv. Organize and supervise (or identify a delegate who will supervise) an additional clinical experience during an evening, weekend, or elective for the student who was unable to complete the minimal clinical exposures during the scheduled course time.
e. Coordinate and monitor site-based assessment activities
i. Plan and schedule assessment activities
ii. Meet with all students to provide midway feedback. Provide additional and final feedback to any student who is having difficulty meeting course objectives
iii. Ensure that assessments of students at the training site(s), as outlined in the course requirements and assessment section on myCourses, are submitted to the UGME Office no later than 4-weeks after the end of the course
iv. Meet with students at the training site(s) who are dissatisfied with their assessment and if necessary refer the student to the Course Director
v. Participate in exam reviews as per the 平特五不中 policy
f. Be familiar with the course section (e.g. course information, objectives, course requirements and assessment, etc.) posted on the on line learning management system (myCourses)
g. Collaborate with the Assistant Dean for Student Affairs on issues related to student wellness, mistreatment and the learning environment
5. Communicate and collaborate with the Clerkship Course Director & Administrator, Clerkship Site Directors & Administrators, and Clerkship Site Physician Leads regarding the Clerkship Course. Respond to email, phone and in-person queries
6. Communicate and collaborate with students regarding Clerkship
a. Together with the Course Administrator and Site Administrator, schedule and conduct information meetings to orient students to course information and scheduling
b. Respond to email, phone, and in-person queries from students
c. Together with the Site Administrator, draft and send emails to the students on site-specific course-related issues
d. Promptly notify the Clerkship Course Director, Course Administrator and Component Administrator of any issues with respect to student facilities at the site (e.g. library access, scrubs, lockers, on-call rooms, etc.)
7. Contribute to the longitudinal Integrated Assessment Courses in Clerkship which includes submission and review of exam items (e.g. for the progress test and OSCE)
8. Participate in relevant Faculty Development activities
